Necessary skills and qualifications

At least 2 years of experience as an Office Manager, Administrator, or in a related role

Hands-on experience in logistics, office operations, and document management

At least a Pre-Intermediate level of English proficiency

Will be a plus

Experience in organizing business travel: ticket booking, hotel reservations, visa support, and insurance

Expertise in planning and coordinating office repairs or cosmetic renovations

Soft skills

Stress resistance, attentiveness, initiative, and politeness

Empathy and emotional intelligence, with the ability to support colleagues and foster a trusting, friendly atmosphere

Demonstrated organizational and managerial skills

High level of system thinking, self-organization, and multitasking ability

Ability to negotiate effectively, politely, and concisely with employees, management, clients, and vendors

Strong internal and external customer orientation and the ability to professionally represent the company to visitors and clients

Responsibilities

Ensuring smooth daily office operations: supplies, technical support, and facility-related matters

Placing orders for goods and services

Planning and coordinating repair or maintenance work in office spaces

Arranging business trips: booking tickets, hotels, visa support, and insurance

Organizing and tracking the movement of the company’s fixed assets

Cooperation with couriers and logistics services (shipping, receiving, customs procedures)

Communication with vendors, contractors, and landlords

Keeping records of incoming and outgoing correspondence

Organizing the delivery of equipment, devices, promo materials, and other assets, including customs clearance if needed
